Microsoft 365, a Strategic Collaboration Management system

Executives need to focus on strategic management, which is the process of formulating, implementing and optimizing organization direction.  Dynamically deciding on the best alternative strategies i.e. to innovate, and then to efficiently plan, implement and monitor each strategy effectively is the art of successful organizational strategic management. 

Just over a year ago, Satya Nadella, CEO of Microsoft started announced the beginning of the Digital Revolution.

This post is intended to bring that statement home for any organization - public or private or nonprofit.

What's Microsoft 365 ?

Microsoft 365 or Office 365 , when properly implementing, provides any organization with the digital infrastructure to plan and manage their organization strategically and then ensure the implementation of these strategies in an environment that is innovative and productive.  Let's look at how these are connected to Microsoft or Office 365.

As a side note, for those familiar with Office 365, the new Microsoft 365 includes Windows 10 and the advanced security suite called Microsoft Enterprise Mobility + Security. Microsoft 365 is currently only available via Microsoft partners like ourselves. So, I will save some words and collectively refer to them for the rest of the article as Microsoft 365.

Strategic Collaboration Management (SCM) Systems

We are familiar with ERP, Enterprise Resource Planning and CRM, Customer Relationship Management systems but what about Strategic Collaboration Management (SCM) systems? 

A SCM manages the continuous interactions between employees and how they direct their attention.  SCM deals with the new economy where collaboration and innovation is encouraged within the context of careful formulated strategic drivers.  Microsoft 365 is exactly that, a Strategic Collaboration Management system or SCM.

So many pieces...

We are all very familiar with some of the parts of such a system, we have been using them for years now - Outlook, Calendar, Project Management, SharePoint, OneDrive file sharing, Word, Excel, PowerPoint, Groups, ... but these are just some of the parts of a SCM system.  What about your new digital notebook - OneNote, Microsoft Teams and Power BI for analytics?  And then what about PowerApps, Flow, Forms, ...? the list goes on. 

It is only in the last year that all the these applications have come together in one cohesive ecosystem under the umbrella name Microsoft 365. 

Microsoft 365 is an ecosystem of so many applications that you can easily loose count. I counted today over 26 applications on our tenant. So, how do you put this complex puzzle of applications together in a way that will support organization collaboration, productivity and innovation from a strategic perspective?  Where do you start? 

The digital puzzle.

I believe that for each organization there is one logical setup that may be similar to other like organizations but is still always unique.  Like a puzzle where the pieces either click together nicely or don't.  Knowing how to put the pieces together is one thing but understanding where to start and how to ensure your SCM is properly setup is the difficult part.   

So, what can I tell you in this post? Well, I can tell you what it isn't for starters...  It's not about administration, i.e. switching things on and off.  If that was all it was about then it would be very easy and you wouldn't be reading this post.

Putting it all together.

To create the collaborative environment that will support executive goals in a productive and innovative manner requires several things.  Firstly, understanding the applications available, their functionalities and knowing how to use them.  Second, knowing how to configure the entire Microsoft 365 environment to ensure that all organization members have an intuitive and productive digital collaboration work space that is focused around strategic drivers.  This requires (1) knowing how the different applications work together and (2) how to setup them up (3) and use them.

Once your Microsoft 365 SCM system is properly configured and working and everyone is giving the thumbs up and enjoying the new user friendly, productive Strategic Collaboration Management System, you are ready to take it to the next level. 

At this stage you will be begin integrating with legacy applications; activating Microsoft 365 applications such as PowerApps, Flow and Forms; connecting to Azure and integrating with Dynamics 365.  This is where you will push things from excellent to brilliant.  These smart new Microsoft 365 applications fill all the gaps, as not everything will be totally customized for each persons needs, yet... until, at least, you finish this part of the SCM setup.

At this stage workers will have their own custom Apps on any device, your SCM will be fully integrated with your CRM and ERP and your organization will be able to proudly say they are now leaders in the Digital Revolution!
